Overview

The Nursing Unit Secretary performs clerical duties which contribute to the operation of the Unit.  Works predominantly with an adult geriatric population

Responsibilities

  1. Communication:  Participates as an effective member of the Unit, demonstrating effective interpersonal communication with all facility personnel, residents and families.         
    1. Acts as nursing unit receptionist assisting resident, visitors and staff as appropriate.
    2. Answers telephone in a courteous manner, identifying self and Unit.
    3. Interacts with others in a considerate, helpful, courteous manner.
    4. Keeps nurses informed about admissions/discharges and resident related problems.
    5. Uses discretion in handling confidential information.
    6. Informs front office of resident activity.
    7. Delivers resident mail and packages.

 

  1. Maintains Medical Records according to policy:        
    1. Keeps charts organized, pages reinforced and maintains proper chart order.
    2. Files all Lab results, X-Ray reports, etc. in chart accurately daily.
    3. On a weekly basis, performs routine chart check for adequacy of chart forms, i.e., nurse’s notes.
    4. Assembles charts for new admissions.
    5. Prepares discharge chart the same day of discharge.
    6. Provides chart thinning activities per policy.
    7. Charts specific resident data per routine, i.e., vital signs, weight.
    8. Maintains files for laboratory data.

 

  1. Physician Orders:           
    1. Schedules appointment for diagnostic and therapeutic activities.
    2. Schedules lab services.

 

  1. Arranges Transportation:
    1. Arranges for resident transportation for appointments.
    2. Transports charts, specimens, or other items when requested.
    3. Arranges for disposition of belongings of discharged and deceased residents.

           

  1. Provides clerical activities:         
    1. Maintains a neat, orderly and safe work area, i.e., desk, charts, corridor.
    2. Reports malfunctioning equipment and other safety hazards to charge nurse and maintenance.
    3. Keeps unit stocked with medical and office supplies to meet unit needs.
    4. Maintains resident identification system, i.e., tags on door, at bedside, resident arm band.

 

 

  1. Adheres to policy and procedure:        
    1. Knows and observes policies and procedures.
    2. Reads written communication book on a regular basis.
    3. Presents neat appearance in appropriate dress and identification as required.
    4. Abides by the standards identified in FutureCare’s Statement of Corporate Ethics and the Corporate Compliance Plan.
  2. Performs educational activities:
    1. Attends all mandatory in-services.

 

  1. Other Duties:

            Performs other relevant duties  as assigned.

Qualifications

  1. High School Graduate
  2. GNA certification preferred
  3. One year experience in a Health Care setting preferred.
